Delete your Ocio Sync account

Ocio Sync is our app for the venues and event organisers that sell through Ocio, and their staff. You can delete your Ocio Sync account at any time, in the app or by email. This page explains how, what is deleted and what we keep. Ocio Sync is run by OCIO LIMITED (Companies House 17214462).

In the app

  1. Open Ocio Sync and tap your venue's logo, or its initials, at the top right of the screen. This opens Account.
  2. At the foot of Account, under Sign out, tap Delete account.
  3. Ocio Sync tells you what deleting your account would do before anything happens. Tap Delete account to confirm. If your account is to be deleted straight away, you are asked once more, because that cannot be undone.

If you are still signing up or setting up your venue, Delete account is also at the end of each of those screens, below everything else.

If you sign in to Ocio Sync with the same account you use as an Ocio member, Ocio Sync cannot delete it. Do not close it in the Ocio app either, because that would skip the rules below for your venue. Instead, email hello@ocio.events from that account's email address, as set out under Without the app, and tell us you are also a member. We will close both your membership and your Ocio Sync account, applying the rules below for your venue.

Without the app

You do not need to reinstall Ocio Sync, or to be able to sign in. Email hello@ocio.events from the email address you use to sign in to Ocio Sync. Use the subject “Delete my Ocio Sync account”, and tell us the name of your venue. We will confirm it is you and deal with your request within one month, as UK data protection law requires. The rules below apply just as they do in the app, and we will let you know when it is done.

When your account is deleted

  • If you are staff, or an owner whose venue has another owner: your account is deleted straight away and you are signed out. Your venue keeps its record of the doors you worked.
  • If you are your venue's only owner and nothing is booked: your account is deleted straight away and your venue comes off Ocio, so members cannot book it. Its profile is not deleted with your account: see what we keep, below.
  • If you are your venue's only owner and dates are booked: your venue comes off sale at once, so members cannot book anything new. Dates already booked go ahead and you are paid for them as usual. Your door list keeps working until then, and your account is deleted the day after the last booked date. Today counts as a booked date if your venue has bookings today.

While a deletion is waiting for that day, you can change your mind: open Account in Ocio Sync and tap Keep my account. Your events stay paused until you resume them in the Studio. If you work for more than one venue, your account is deleted on the latest of these days.

What is deleted

  • Your login: your name, email address and password, and whether you are an owner or staff.
  • Your place on the team of each venue you work for.
  • The notification token for your phone, so its alerts stop.

Your login goes on the day set out above, and copies in our backups are removed within 30 days of deletion. Some of the records we keep, listed below, still show your name or email address.

What we keep, and why

UK tax and company law requires us to keep these for six years, so they stay after your account is deleted:

  • Statements and payment records, including the email address each statement was sent to.
  • Your business details as they stood on each statement.
  • The record of the Ocio Partner Terms you accepted: the version, the date and time, your account and its email address, and the IP address, device and app version it came from.
  • Your door records: each guest count, when it was recorded and the name of the person who recorded it.

These stay with your venue when your login is deleted:

  • Your venue's profile, listings and current business details. They are not deleted with your login: if you were its only owner, they stay with the venue, off sale. To have them removed too, email hello@ocio.events and say so. The records above that the law requires us to keep still stay for six years.
  • The record of each change to your business details and who made it, with their email address.

These are also kept:

  • The bank and identity details you gave Stripe for payouts: Stripe holds them, not us, and its privacy notice says for how long.
  • Emails you sent us, or that our team received about you, such as support messages, for as long as we need them to deal with the matter or as the law requires.
